- If you have just done the practice management review, your result is carried across automatically, so you start from what your current system can already do. You can choose to answer those questions yourself instead.
- Tell us why you are considering a move: price rises, end of life, a vendor moving you to a different product, or other reasons.
- Answer the questions about how your firm works: size, types of work, Outlook, devices, workflow, billing, accounts, documents, other tools and your top three priorities.
- Choose Build my specification.
- Read "Before you move": what to check first, based on your answers and your review score.
- Read the key decisions, such as all-in-one or best-of-breed, with the way your answers lean.
- Review your requirements, each ranked must, should or could have, with why it matters and how to test it in a vendor demonstration.
- Download the specification (Word) for your selection and the vendor response matrix (CSV) to send to vendors. No product is named or preferred, and nothing leaves your browser.
About this tool
The requirements builder turns 18 questions about your firm into an independent requirements specification for a new practice management system, with the key technical decisions explained and a response matrix to send to vendors.
Who it is for
Firms that are thinking of moving, or that have been told they must, because of a price rise, a product reaching end of life or a move to another product after an acquisition. It starts by asking what your current system can already do, and why you are considering a move, because the best requirement is sometimes to get more from what you have.
What you get
- Requirements prioritised as must, should or could have, each with why it matters for your firm and how to test it in a demonstration.
- Plain-English guidance on the decisions that shape a system for years: how it connects to Outlook, whether it is true multi-tenant software as a service, how legal and office accounts fit together, document management, time recording in units or minutes, workflow depth and reporting.
- Requirements for your COLP and COFA, anti-money laundering and client account controls, and the types of work you do.
- A Word document of the specification and a CSV response matrix that vendors can complete, so every vendor answers the same questions.
Independent by design
The builder never names, scores or recommends a product. It describes what your firm needs and how to test it, so every vendor is judged against the same evidence. Platforms your firm already uses, such as Microsoft 365, Outlook, Xero and Power BI, may appear in requirements; practice management, document management and CRM vendors never do.
How it works
If you completed step 1, the practice management review, in this browser tab, the builder uses your score and weakest areas and skips the questions you have already answered. Everything runs in your browser; nothing is sent to us or stored by us.
